Project Coordinator and Translator

Dutch drinking water utilities share their expertise, via VEI, with colleague water utilities around the world. The water utilities Vitens, Evides, WML, Waterbedrijf Groningen and Brabant Water second staff for fixed periods to VEI for temporary positions as the one advertised.

Description of the assignment:

VEI Ltd. has been selected to develop and organize a Water Operators Partnership (WOP) between USUG (the water utility of Ulaanbaatar) as a mentee and an experienced water utility as mentor. MCA-Mongolia is the initiator and funding agency of this WOP. The WOP aims at strengthening critical operational capacities of USUG that were identified through the implementation of AquaRating, an international assessment and benchmarking tool for utility operations developed by the International Water Association. The WOP is planned for the years 2023 – 2025. The first half year of 2023 is used to design and operationalize the WOP.

To support with the implementation of the WOP, VEI is looking for a highly motivated and experienced Project Coordinator and Translator to provide translation, administrative, and logistical support for this project. The Project Coordinator will work closely with the Project Manager and local partners to organize and implement exposure visits to Mongolia and the Netherlands, and to ensure the project is delivered on time, within budget, and to a high standard.

Responsibilities:

  • Provide high-quality translation services, both written and oral, from Mongolian to English and vice versa - expected 50% of total effort.
  • Assist the Project Manager with the coordination of the project activities, acting as a liaison between VEI and the local partners and stakeholders. As an important part of the project activities consist of implementing exchange visits for the Mongolian delegation visiting the Netherlands (a total of 10 exchange visits) and the Netherlands delegation visiting Mongolia (a total of 4 exchange visits) - expected 30% of total effort. This includes, but is not limited to, the following activities:
    • Making arrangements for travel and accommodation;
    • Providing support to VEI team members visiting Mongolia;
    • Frequent travel to the Netherlands to provide support to Mongolian delegation members during the exchange visits.
  • Assist the Project Manager with administrative tasks, such as scheduling meetings, drafting agendas, preparing reports and the procurement of equipment and supplies (when necessary) - expected 20% of total effort. This includes, but is not limited to, the following activities:
    • Prepares and implements the monitoring and evaluation process of the (WOP) project plan;
    • Maintains project records and documentation, ensuring they are up-to-date and organized;
    • Assist in monitoring project progress and identifying areas for improvement;
    • Supports internal administrative and logistical activities.

Required educational level and experience:

  • Bachelor's degree in engineering, water management, project management, international development, environmental studies, human resources, or a related field. Candidates with specialized training or certification in project management are preferred.
  • Fluent in both Mongolian and English, with excellent written and verbal communication skills in both languages. Previous experience with translation is necessary.
  • A minimum of two years’ experience working in the water sector, preferably in an international setting, and familiar with the specific terms used in both the drinking- and wastewater sector in both Mongolian and English.
  • Demonstrated experience in project coordination or management, preferably in the water sector or related fields.
  • Excellent organizational skills and attention to detail.
  • Ability to work effectively in a team environment and with diverse stakeholders.
  • Understanding of and ability to work with different cultures.
  • Strong problem-solving skills and ability to adapt to changing circumstances.
  • Proficient in Microsoft Office and other relevant software.
  • Professional and ethical.
  • Previous experience in project management in an international setting.
  • Reliable, a self-starter, committed, and passionate.

Working hours:

The working hours are 40 hours per week following the local working hours in the office and following the local national holidays.

Employment contract:

You shall be based in Mongolia and report to the management of VEI Ltd. You will be contracted through a pay rolling construction on the basis of a consultancy contract, with a duration from the starting date until 31 December 2025.
